You already have Power BI. This is not the same thing.
Building your own BI solution for school data is a rational option for the right task. We give an honest comparison of what it costs, how long it takes and the responsibility it entails, and explain why the answer is often both.
Ready-made reports on day one, or a development project first
Vklass analys is activated per school or for the whole organization. The reports, permissions and comparisons against national values are ready from the start, the data is updated every day and there is no implementation project. The reports also open right away. Vklass analys runs the analysis against its own analytics layer where the figures are already calculated, so no one has to wait for heavy queries to work through raw data.
Municipal BI projects for school data take time before they produce a first usable report. One large city released grade statistics after two years of work, and attendance statistics are still in progress. Another municipality had connected six compulsory schools after several years of development. A third solution was started because exported reports were always out of date, and today it depends on one key person. The task is difficult, even for skilled teams.
What an in-house solution really costs
Licenses are the smallest item. The weight lies in the development work and in the ongoing management, which never ends and rarely appears in the calculation on the table when the decision is made.
| Item | Weight in the calculation | What it includes |
|---|---|---|
| BI licenses | The smallest item | Read licenses for principals and administration; capacity-priced platforms cost more. |
| Development | The heaviest one-off item | Data model, source-system integrations, the reports and a student-level permissions model. |
| Ongoing management | Returns every school year | School-year rollover, source-system changes, permissions and new key figures. |
| Responsibility and legal compliance | Internal work and risk | Data protection impact assessment (DPIA), information classification and permissions review, every school year and managed in house. |
We deliberately give no amounts and no time ranges here. The figures usually quoted for municipal BI projects cannot be backed by an open source, and then they do not belong on a public page. The items above are the same in every project. Ask for your own calculation per item, and the comparison becomes your own.
Student data is not just any data
The most expensive part of an in-house solution does not appear in the budget: the responsibility for handling student data correctly. In recent years, supervisory decisions from the Swedish Authority for Privacy Protection (IMY) have concerned school platforms and analytics environments, with missing impact assessments and inadequate permissions control.
DPIA material
With an in-house solution you own the entire impact assessment. Vklass analys includes documented material for the assessment.
Role-based access at student level
In Vklass analys, the permissions model is built in and follows school roles, so it controls who may see which student's data. The students behind every figure are one click away, by name within your permissions. In an in-house solution the permissions model is a development project in itself.
Suppression of small groups
Permissions decide the student level: the principal sees their school, the mentor their students and the teacher their groups. Small groups are suppressed only in comparisons outside your own permissions, for sensitive background variables, on maps and in surveys. Someone must build, test and maintain that, or receive it as part of the product.
Logged exports
Every opened student list and every export is logged in Vklass analys, both report tables as CSV and student lists to Excel. Traceability is built into the product, so no one has to enforce a policy manually.
Four routes to school analytics and what they can do
This comparison covers categories, not individual suppliers: reporting modules in school platforms, performance management systems for municipalities and in-house BI solutions. It is based on each category's public offering as of July 2026.
| Capability | Vklass analys | School-platform reporting module | Performance management system | In-house BI |
|---|---|---|---|---|
| Built-in external benchmarks (Swedish National Agency for Education, SALSA, Kolada) | Yes | No | Can be built as a project | In-house work and maintenance |
| National quality-system indicators mapped in advance | Yes, with the source data in the same system | No | Through integrations in a project | In-house development |
| Early warning with open, readable rules | Yes | No | No | In-house work |
| Absence patterns in the timetable (absence against scheduled lesson time) | Yes | No | No | Requires timetable and attendance data in the same model |
| Student journey on a timeline | Yes | Partly | No | In-house work |
| Ready-made reports on day one | Yes | Yes | Implementation project | Development project |
| Built-in statistical integrity (suppression, distributions, logging) | Yes | Not communicated | Depends on configuration | Your responsibility |
| Cross-sector analysis (school × social services × finance) | No, feeds your data platform through an API | No | Yes | Yes |
The rows describe what each category offers publicly, not what an individual supplier may have in development. Cross-sector analysis is the home ground of performance management systems and in-house solutions, which is why the comparison ends with the hybrid approach below.
Feed your data platform with Vklass analys
If your municipality has a data warehouse and a BI team, that is a strength. Vklass analys replaces the most expensive and sensitive sub-project: student-level school analytics with permissions, statistical rules and external benchmarks. At the same time, the raw data is delivered to your platform.
Vklass has a REST API in production with more than 40 ready-made BI extracts as JSON or CSV, including attendance, grades, assessments and national tests. Vklass also supports the Swedish standard SS 12000. You are not locked in. Your data platform gets better fuel than screenshots and spreadsheet exports, and your cross-sector analysis builds on the same figures shown in the school's reports.
